Why ERP development cost guides quote $25,000 to $1 million
Published ERP cost guides mix a single inventory tool for a 20 person distributor with a full replacement of SAP for a manufacturer with five plants and a decade of data. They also mix hourly rates from $25 to $200. A range that wide cannot help you budget. Ask a smaller question: which modules, which roles, which locations and which systems does your ERP have to touch? Each of those is a line with hours, and hours times a rate is your price.
There is a second reason the big numbers show up. Some teams try to rebuild the general ledger, payroll and tax logic from scratch. That is where custom ERP projects go over budget and fail audits. We recommend the opposite: keep accounting in QuickBooks, Xero or NetSuite, and build the operational modules your accounting package cannot model.

The base package, which covers the data model, main screens, environments and deployment, is the largest single line. That is why a focused ERP module never costs $15,000, and why adding one more feature rarely moves the total by more than ten percent.

NetSuite figures come from 2026 pricing guides that report the base platform fee and the move of full user pricing to $129 to $199 a month. Odoo figures are its published US Custom plan. Read the table honestly. If Odoo fits how you work, it is cheaper than a custom build, even after a partner implements it. A custom ERP module wins in three cases: your per-user fees on NetSuite or a similar suite have grown past the cost of owning the code, your process (made to order production, rentals, regulated lot tracking, a strange pricing rule) does not fit the vendor's objects without constant scripting, or the system has to face your customers and suppliers as part of what you sell.
Build a full custom ERP or a custom layer on the one you have?
For most companies with an ERP already in place, a replacement is the wrong first project. A dashboard your planners will actually use, reports finance stops rebuilding in spreadsheets and two integrations that end double entry cost $18,500 to $34,000 in our model. A portal for customers or vendors costs $55,500 to $72,500. Replace the system only when every one of those additions would fight the vendor's data model.
Accounts payable is a good example. Invoice capture and approval routing is usually cheaper to buy as dedicated accounts payable automation software than to build into a custom ERP. Build the parts that are specific to your operation, and connect to tools for the parts that are the same for everyone.
How long does it take to build a custom ERP?
One custom ERP module takes 7 to 12 weeks of build in our model after a one week Discovery. A multi-location system takes 8 to 12 weeks with a team of four, and a warehouse scanner app runs 9 to 11 weeks with its own team. Data migration from spreadsheets or an old system is a separate line, sized in Discovery after we see a sample export. Larger programs go module by module, each priced and paid as its own stage.
What does a custom ERP cost after launch?
Budget for hosting, backups, any paid data feeds and maintenance. Hosting for an ERP used by a few dozen people is a small monthly line next to license fees. Maintenance covers security updates, dependency upgrades and small changes, from $990 a month on our Care plan. New modules are priced as new stages with the same model, or handled by a dedicated developer by the month.
How to keep custom ERP development cost down
- Start with the one workflow that costs you the most hours today, usually inventory, order entry or production scheduling.
- Keep the general ledger, payroll and sales tax in your accounting package and sync to it.
- Migrate open orders, active items and current balances. Old history can stay in an archive export.
- Connect to existing tools for banking, AP and shipping instead of rebuilding them.
- Pay by stage. Discovery costs 10 percent of the estimate, at least $1,900, and you can stop after any stage.
