Why custom CRM cost guides quote $15,000 to $360,000
Most published ranges mix three different things: a contact database for one sales team, a full sales and service platform for a few hundred users, and enterprise programs with data migration from a decade of legacy records. They also mix hourly rates from $25 to $180. A single range across all of that tells you very little. The useful question is narrower. Which records, which roles, which screens and which systems does your CRM have to touch? Each of those is a line with hours, and the hours times a rate is your price.

License prices are list prices published by Salesforce and HubSpot for 2026, billed annually. Large contracts are often discounted, and add-ons can raise the bill. Our maintenance figure is the Care plan on our software maintenance plans page.
Read the table honestly. With 25 users, HubSpot is cheaper than a custom build over three years, and it ships tomorrow. A custom CRM starts to win in three situations: your user count is large enough that per-seat pricing dominates, your process does not fit the vendor's objects without heavy admin work every quarter, or the CRM has to sit inside a product your customers use. If all you need is to send each inbound lead to the right rep, a dedicated lead routing tool is far cheaper than either.
Build a custom CRM or customize the one you have?
For most companies already on a CRM, the cheapest move is a custom layer, not a replacement. A dashboard your managers will actually open, reports your finance team stops rebuilding in spreadsheets and two integrations that end double entry cost $18,500 to $34,000 in our model. Replace the CRM only when the layer would fight the vendor's data model on every screen. How long does it take to build a custom CRM?
A first version of a custom CRM takes 7 to 10 weeks of build in our model after a one week Discovery. A full sales or service CRM takes 9 to 12 weeks, and adding an iPhone and Android field app takes 10 to 13 weeks with its own team. Data migration from your current CRM is a separate line, sized in Discovery once we see the export.
What does a custom CRM cost after launch?
Budget for hosting, email sending, any paid data sources and maintenance. Hosting for a CRM used by a few dozen people is usually a small monthly line. Maintenance covers security updates, dependency upgrades and small changes, from $990 a month on our Care plan. Bigger additions are priced as new stages with the same model, or handled by a dedicated developer by the month.
How to keep custom CRM development cost down
- Start with one team and one pipeline. Add service, marketing and partner portals after the first team uses it daily.
- Migrate only the records people still open. Ten years of closed deals can stay in an archive export.
- Keep email sending, telephony and e-signature on outside services through integrations instead of building them.
- Bring your own designs if you have them. That removes the 20 percent design share from the estimate.
- Pay by stage. Discovery costs 10 percent of the estimate, at least $1,900, and you can stop after any stage.
